Overview

The Council on Foreign Relations’ Washington office is located just one block from the White House. It is home to a state-of-the-art conference center and is used to host several hundred meetings, including rental events, each year. The Associate Director, Event Management, will be help oversee the daily operations of the Washington event management department.  

The major responsibilities of this position will include (but are not limited to):

  • Plan, coordinate, and manage event logistics, including timelines, menu planning, room setups, and audio visual needs
  • Meet with user groups to provide information and guidance about event specifications
  • Direct and coordinate the activities of catering personnel and other vendors
  • Serve as the point of contact for Special Event clients; by managing all scheduling, logistics, set-up and billing for the event 
  • Work closely with Director, Event Management and Special Events to manage the Council’s event calendar
  • Oversee inventory control, event billing, invoice processing, the preparation of budgets, and other event related reports
  • Provide and uphold a courteous, positive, professional, and cooperative attitude with the staff, vendors, and guests by phone, email, and in person

Qualifications

  • Bachelor’s degree required; degree in hospitality, event management, communications, or marketing preferred
  • Five or more years related experience; hotel/banquet, catering and/or corporate event experience strongly preferred
  • Proven experience in managing and prioritizing multiple tasks and excellent time management skills
  • Excellent administrative skills, with high attention to detail
  • Outstanding customer service, verbal and written communication, and problem solving skills
  • Proven ability to work effectively in a team environment as well as independently
  • Strong computer skills, including Microsoft Word, Excel, and PowerPoint
  • Ability to work a flexible schedule, including early mornings and evenings
  • Ability to lift equipment and furniture
