The Executive Assistant (EA), Education, will work as part of the Education team, providing support to CFR’s Vice President, Education and assisting with greater departmental administrative tasks and priorities. The EA, Education, will serve as a main point of contact for Council counterparts to and outside partners of the Education department, routing inquiries and updates to appropriate team members. In addition, the EA, Education will serve as liaison between the various Education sub-teams. The EA, Education will be required to be fully onsite to assist the VP, Education with significant projects. This position requires an ability to manage multiple tasks simultaneously and prioritize accordingly. 

The major responsibilities of this position will include (but are not limited to):

  • Act as first point of contact for the Education department and VP, Education.
  • Provide support to the VP, Education in matters including calendar maintenance, expense reports, contract review, invoices, travel schedules, research projects, funding reports, and document management.
  • Attend meetings with the VP, Education, when appropriate, and take notes for follow-up and/or circulation.
  • Manage action items for the VP, Education and assist with tracking priorities for the Education department to ensure cohesion across sub-teams.
  • Manage Education department calendar and team meetings: take minutes and circulate notes to the team.
  • Draft communications and/or other documents for the VP, Education including status updates on projects and meeting minutes.
  • Make decisions and handle sensitive personnel information using sound judgment and discretion.
  • Manage guest meeting logistics and greet guests upon arrival for in-person meetings.
  • Provide a bridge for smooth communication to/from the office of the VP, Education with leaders and staff across the organization.
  • Build important internal and external relationships essential to facilitating departmental success.
  • Provide project support as requested, including researching the education industry, competitors, partners, and vendors.
  • Support the Education team with coverage for in-person events and all other hands-on-deck situations.
  • Perform any other duties or tasks as assigned or required.

Qualifications

Education

  • Bachelor’s degree preferred, but not required

Experience

  • 5+ years of relevant experience

  • Superb interpersonal and customer service skills across all levels of the organization and with external stakeholders.
  • Excellent organization and multitasking skills, with demonstrated proactive ownership and accountability.
  • Proven ability to work in a fast-paced environment, both independently and as part of a team.
  • Advanced knowledge of Outlook and Microsoft Suite, including Excel and PowerPoint.
  • Budget management.
  • Effective problem-solving capabilities; ability to anticipate patterns and links and to look beyond the immediate problem to the wider implications.
  • Experience with CRM systems is a plus.
  • Qualified candidates will have related experience that requires judgment, strong writing and editing ability, the ability to prioritize, and experience interacting with various stakeholders.

Compensation and Benefits

  • The full-time annual compensation range for this position is $75,000 – $85,000, depending on experience.
