Position Summary

CFR’s Executive Office is seeking an Operations Assistant. Reporting to the Deputy Director of Operations, the Operations Assistant will closely assist with tasks and projects related to the operational and administrative functioning of the Executive Office, with particular attention to the direct responsibilities of the Executive Vice President and Chief Administrative Officer (EVP/CAO).  The Operations Assistant liaises with units and teams across CFR and provides logistic support for various leadership meetings, ongoing initiatives, and provides administrative support to the EVP/CAO. As part of the Executive Office, this role will be working closely with other Executive Office support staff and is responsible for back-up support to the President’s Executive Assistant and Special Assistant. This position requires a high level of discretion and confidentiality. This is an exciting opportunity for an administrative professional interested in contributing to CFR’s mission while gaining experience into high-level operations and leadership support.

 

As the executive role has a key presence in the office, this position will work full-time onsite in CFR’s New York office.

The major responsibilities of this position will include (but are not limited to):

  • Provide administrative support to the EVP/CAO as assigned by the Deputy Director of Operations including scheduling, document preparation, meeting coordination, expense reporting, and tracking outcomes
  • Manage all room requests and AV support for EVP/CAO meetings in NYC
  • Inviting and staffing guests of the EVP/CAO in the New York City office as needed
  • Manage the staffing, planning and logistics for all internal programming and events sponsored by the Executive Office (Leadership Team retreats, Council Leadership group gatherings, quarterly Leadership Team Assistants meetings, etc.)—including, as needed, invites, ground logistic support, contract coordination, and payment processing. 
  • Provide logistics and backup support for Leadership Team meetings, President’s Council meetings, and Senior Managers Team meetings
  • Manage Board relationships for all EVP/CAO Board committees—Compensation, Budget and Finance, Audit, Investment, Nominating and Governance, and Executive
  • Correspond with internal and external partners as assigned
  • Provide redundancy/back-up support to the President’s Executive Assistant and Special Assistant, including scheduling, document preparation, travel arrangements, and maintaining awareness of ongoing tasks/projects/initiatives of the President
  • Provide redundancy/back-up support to the Assistant Secretary of the Board of Directors including scheduling, document preparation, correspondence, and meeting/event logistic support as needed
  • Provide note taking and minutes production, in coordination with Assistant Secretary of the Board of Directors, for Board meetings and committee meetings.
  • Perform any other duties or tasks as assigned or required

Qualifications

Experience

  • 1-2 years of experience in administrative support
  • Bachelor’s degree strongly preferred

Related Skills & Other Requirements

  • High proficiency in Microsoft Office applications including Outlook, Word, Excel, Teams and PowerPoint.  Slack experience a plus
  • Familiarity with office equipment including printers, scanners, phone systems, and basic audio/visual technology
  • Strong attention to detail
  • Strong verbal and written communication skills
  • Strong organizational and time management skills with ability to handle multiple concurrent assignments and activities
  • Ability to carry out directed tasks with some independence

Compensation and Benefits

  • The full-time annual compensation range for this position is $55,000 – $63,000, depending on experience.
